Email Rules

An email rule is a set of actions applied automatically to incoming messages. You can decide what happens to specific emails, such as moving messages from one folder to another or marking them in a certain way. For example, you can create a rule to move all emails from a particular sender directly to a designated folder.

Junk Email (Spam) Settings

Junk emails, also known as spam, can clutter your inbox and cause inconvenience. The Junk Email filter identifies unwanted messages and moves them to the Junk Email folder. You can easily adjust the filter settings to control which emails are marked as junk.

Email Forwarding

Email forwarding allows you to automatically send incoming emails from your inbox to another email address. This is set up through inbox rules in Outlook on the web, helping you manage emails efficiently across multiple accounts.

Managing Email Forwarding Settings in Exchange Admin Center

Exchange Admin Center makes it simple to manage your email forwarding settings. You can create new forwarding rules, edit existing ones, and monitor how they are working. It also provides reports showing the number of emails forwarded and highlights any errors that may have occurred, helping you keep your email flow organized and error-free.

  1. Sign in to the Exchange Admin Center using your administrator credentials.
  2. On the left sidebar, navigate to Recipients and then select Mailboxes.
  3. Select the mailbox for which you want to enable forwarding, then click on Email Forwarding.
  4. Turn on the Forward all emails sent to this mailbox toggle button.
  5. Enter the forwarding email address and click the Save button.

Migrate rules (Inbox rules), Delete items, Conversion history and Junk Email

When performing a migration with EdbMails, simply go to General > Settings in the application and enable the Migrate rules (Inbox rules) option to transfer your inbox rules configuration.

Deleted Items: Excluding deleted items can help speed up the migration process and reduce storage usage, especially if your mailbox contains a large number of deleted messages. This ensures that only relevant emails and data are migrated, keeping your new mailbox clean and organized.

To exclude deleted items from migration, go to General > Settings, click the Settings button next to Include/Exclude Filters and More, then select Exclude Standard/Custom Folders, and choose Deleted Items.

Conversation History: Excluding conversation history can help streamline the migration process by skipping older or unnecessary conversion logs, ensuring that only essential mailbox data is transferred.

To exclude conversation history from migration, go to General > Settings, click the Settings button next to Include/Exclude Filters and More, then select Exclude Standard/Custom Folders, and choose Conversation History.

Junk Email: Excluding junk emails ensures that unnecessary or spam messages are not migrated, which saves time, reduces storage usage in the new mailbox, and helps keep the mailbox organized with only relevant and important emails.

To exclude Junk Email from migration, go to General > Settings, click the Settings button next to Include/Exclude Filters and More, then select Exclude Standard/Custom Folders, and choose Junk Email.
