Cutover, staged and hybrid migration

Cutover migration

Cutover Migration is a migration technique which migrates all the data in one complete transfer. This migration technique quickly migrates the data without much effort and it is recommended for small and medium sized organizations. As small and medium sized organizations normally do not maintain large amounts of data, the whole migration process lasts a couple of days. To avoid possible downtimes, the Exchange migration can be performed over the weekends.

Cutover migration is ideally suited for Exchange environments having Exchange 2003/2007/2010/2013 versions and less than 2,000 mailboxes.

Staged Migration

Staged Migration is a migration technique which migrates all existing users’ mailboxes from on-premises Exchange to Exchange online in stages.

In the staged migration, the mailbox migration can be performed in two stages if necessary. This type of migration is typically recommended for medium and large sized organizations. Due to the large volume of data, the mailboxes cannot be migrated overnight or over the weekends unlike cut-over migration. Staged migration is an ideal solution for organizations that operate 24/7 and can’t afford longer downtimes in their operations. Basically, the staged migration process is divided into two stages according to a particular date.

1. The first stage is about migrating data which is either older or newer than a particular date. The domain is then transferred to the destination server or the MX records are updated after the completion of the migration.

2. The second stage is about migrating the remaining data.

In most of the cases, the newest data is migrated first during company off hours or over weekends and it follows with the domain transfer and/or the MX record update. The newest data is readily available for the users to start working in the new environment and the older data can be migrated at a later stage.

Who can perform Staged Migration?

Staged Migration is suited to medium sized organizations and this technique can be chosen only when you have your source email system in Exchange.

What are the reasons for Staged Migration?

  • For organizations working with critical data, a complete migration in one sitting is not a workable solution.
  • During company mergers and acquisitions, data has to be transferred in stages.
  • Poor internet connectivity and bandwidth issues makes organizations switch over to staged migration.

Hybrid Migration

Hybrid Migration is a migration technique which allows users to migrate the data stored in both on-premise Exchange and Exchange online. Generally, hybrid migration synchronizes the on-premise Exchange mailbox with Exchange online. Organizations storing sensitive and important data prefer to have complete control over the information. Storing such data in the cloud is not only risky but also compromises privacy. Hybrid Exchange migration is practical in scenarios to retain sensitive data on-premises and migrate the remaining data to Exchange online.

What are the reasons for Hybrid Migration

  • Organizations can migrate data at their own pace.
  • Coexistence of customizations both in on-premises and Exchange online.
  • To resolve public folder issues in Hybrid Environment. Read more
  • Have complete control of some data in the local environment.

What are the limitations of native migration solutions?

1. Migration process is normally time consuming and cumbersome.

2. Errors in the execution of cmdlets and PowerShell scripts may result in data loss.

3. Data corruption if the entire process is handled without care.

4. Involves complex steps to achieve complete and error free migration.

5. Exchange admin should have adequate knowledge about the entire process for a successful migration.

6. Extensive preparations required before and after the Exchange migration operation.

7. Throttling and other limitations pose a risk to the safety of the data.
