Office 365 Migration User Manual
Overview
EdbMails Office 365 Migration tool handles direct migration of mailboxes between Microsoft 365 tenants, from Office 365 to on-premises Exchange servers, and across hosted Exchange environments and legacy platforms such as Small Business Server. The same tool also covers PST export, public folder migration, archive mailbox migration, and shared mailbox migration, so there's no need to switch between separate applications.

Migration jobs are configured through the application's main interface, where you can apply filters and set up parallel migration to move several mailboxes at once. Incremental migration then takes over on repeat runs, picking up only new or changed items so nothing gets duplicated. None of this requires writing a single script or touching PowerShell. Installation is straightforward, with no agents required on the source or target servers.
Who is this tool for?
Not everyone who needs to migrate a mailbox works in IT. Some are small business owners switching providers, individuals moving away from a hosted account, or consultants handling a one-off tenant move for a client. EdbMails works for all of them, since the interface is straightforward enough that you don't need a technical background to get through a migration successfully.
The tool scales just as well for larger teams. IT administrators and system engineers running tenant-to-tenant migrations or Exchange-to-cloud transitions will appreciate the automation. Auto-mapping, incremental migration, throttling management, and automatic mailbox creation take most of the manual work off the table when you're dealing with hundreds or thousands of mailboxes.

The tool supports all Microsoft 365 plans and Exchange versions, including hosted providers like Rackspace, GoDaddy, and Intermedia. Global admins can connect through Auto Registration, while delegated users and those without full admin rights can use Manual Registration with a full-access account instead.
How the tool works
EdbMails connects directly to both your source and target environments. Once connected, it reads the source mailbox contents and writes them to the target in a single hop, with no intermediary server, no third-party storage, and no staging environment in between.
Mailboxes are matched automatically based on display name, email address, first name, and last name. If the automatic mapping doesn't cover everything, you can load a CSV file with custom mappings, including cross-language folder name mappings.
Authorization to Microsoft 365 uses OAuth 2.0. Your credentials are passed directly to Microsoft's sign-in page, and EdbMails never handles or stores them.

Selective Item Migration
EdbMails Office 365 Migration lets you filter what gets migrated by message received date, subject, from address, CC address, BCC address, and read or unread status. You can also choose which folder types to include, such as emails, contacts, calendars, or tasks, and exclude specific standard or custom folders from the job. Deleted Items, Conversation History, and Junk Email are left out by default, and attachments can be excluded entirely when you only need the message content itself. Read more
Incremental Migration
The first run is always a full migration, moving every item across to the target. From the second run onward, EdbMails switches to picking up only what's new or changed since the last job, so nothing already migrated gets touched again. This keeps the target clean, with no duplicates written under any condition. Read more
Automatic Mailbox Mapping
Source and target mailboxes are matched automatically, based on display name, email address, and other identifying attributes. Any mailboxes missing from either side can be added manually before the migration starts. Read more
Automatic Target Mailbox Creation
You can choose to let EdbMails automatically create the mailbox and assign the license on the target tenant if it doesn't already exist. Each new mailbox carries over the source user's key attributes, so it's ready to receive data without any manual setup on your part. Read more

Migration Reports
EdbMails automatically generates a text-based log report at the end of every migration run. It captures the status of each mailbox, flags any errors or warnings that came up along the way, and breaks down item counts by folder. You can review these reports at the job level or narrow the view down to individual mailboxes for a closer look. A cumulative report is also available, showing the total number of items migrated in each folder across all mailboxes for that session. Read more

One license covers one source mailbox of any size, migrated to any Microsoft 365 tenant.
