Office 365 to Gmail Migration

Before commencing the migration process from Microsoft 365 to an IMAP Server, below pre migration tasks require attention.

For the source Microsoft 365 server:

• Ensure availability of an Office 365 Global admin account with the appropriate license.
• Assign suitable Office 365 licenses to the mailboxes slated for migration.

• To migrate Office 365 Public folders or Shared mailboxes, create and configure them on the target server.

• Confirm sufficient bandwidth exists for Office 365 migration.

• Configure Office 365 to accommodate large message (items) migration by increasing the message size limit.

For the target Gmail server:

• Get the email address of your gmail account and app password

• If you are migrating multiple mailboxes, create a CSV file containing email addresses, passwords, gmail hostname, and port numbers.

EdbMails simplifies the migration of emails from Office 365 to Gmail with its user-friendly features. Follow the steps below for an effortless Office 365 to Gmail migration while maintaining your data security throughout the migration process.

• Download and install the EdbMails application on your computer having Windows Operating system.

• Launch the EdbMails application and click either 'Login' by entering the appropriate details or 'Start Your Free Trial' to use a demo version of the software.

  

• Choose 'Office 365 Migration' from the dropdown options.

  

• In the 'Connect to Office 365 (Source)' window, proceed with the default method of registering the EdbMails application with your Azure Active Directory and click the ‘Login’ button.

• Choose the necessary connection method – ‘Connect to mailboxes’, ‘Connect to Public Folder’, or ‘Connect to Archive mailbox’. Then, proceed by clicking the ‘Continue’ button to authenticate using the global admin account on the Microsoft sign-in page.

  

• Upon successful authentication, choose a method for loading mailboxes from the source Office 365 tenant. EdbMails automatically loads mailboxes, or opt for loading mailboxes using a CSV file.

• Choose the mailboxes and folders you intend to migrate from the left panel within the migration window

  

• EdbMails provides the option to start with a default setting that enables the concurrent migration of 10 mailboxes. If necessary, you can effortlessly increase this limit to accommodate up to 20 mailboxes, enhancing the speed and efficiency of the migration process.

  

• Click 'Migrate to IMAP' to establish a connection with the target server.

  

• To connect to a single user gmail account, select the ‘Single User / Account Migration’ check box. Then, select hostname ‘Gmail [imap.gmail.com]’ from the list, enter the email address and gmail app password. Click the ‘Login’ button

  

• If you want to migrate multiple gmail accounts, select ‘Multiple (bulk) Users/Accounts Migration’. Then click the ‘Load Mailboxes From CSV File’ button
• Download the sample CSV file and fill the required details such as email address, gmail app password, host name and port number.
• Browse and load the CSV file into EdbMails and verify the list mailboxes
• Click the ‘Continue’ button

  

• EdbMails facilitates automatic mapping of mailboxes between Office 365 and Gmail servers. Furthermore, there's the choice to manually map mailboxes between the source and target servers, along with the ability to map source folders to their corresponding target folders.

  

• EdbMails allows detailed customization of Microsoft 365 to Gmail migration. You can set filters based on various criteria like date range, sender, recipient, Cc, Bcc, read/unread status, and attachment names. Additionally, you can opt to skip standard folders or emails containing attachments larger than 150 MB.

  

• Once all settings are in place, start the migration and keep a close eye on its progress. EdbMails sends a confirmation message when the migration completes successfully. Lastly, verify the number of migrated emails, folders, and items using EdbMails' text-based log report. Also log in to your target Gmail server to verify the migrated items.

  

Once the migration is complete, update your MX records to facilitate the flow of emails to the new server.
