How to Migrate from Office 365 to Yahoo Mail
Office 365 to Yahoo Mail migration is primarily an email-migration scenario. The Office 365 mailbox is connected as the source, while Yahoo Mail is connected through its IMAP service as the destination. Before starting, confirm the Yahoo account, available storage, Yahoo IMAP access, and the authentication method required for third-party applications.

Before You Migrate from Office 365 to Yahoo Mail
Moving mailbox history to Yahoo Mail does not recreate Microsoft 365 as a service. Before migration, confirm whether users still require Microsoft 365-specific features such as Teams, SharePoint, OneDrive, shared mailboxes, centralized identity administration, retention policies, or other Exchange Online controls.

Yahoo Mail Prerequisites
- Confirm that the target Yahoo account is active and can sign in successfully.
- Use Yahoo's current IMAP server: imap.mail.yahoo.com.
- Use port 993 with SSL for the standard Yahoo IMAP connection.
- Generate and use a Yahoo third-party app password when required for the migration connection.
- Test the Yahoo IMAP connection before running a bulk migration.
- Check available Yahoo Mail storage before migrating a large Microsoft 365 mailbox.
Storage, Large Messages, and Attachment Planning
Compare the size of the Office 365 mailbox with the storage currently available in the destination Yahoo account. Identify large folders and attachments before migration and decide whether all historical mail needs to be moved.
Yahoo currently limits the total attachment size of a message to 25 MB. A message that exists successfully in Microsoft 365 may therefore exceed what the Yahoo destination accepts. Use migration filters or separate handling when necessary, and validate representative large messages after migration.
Office 365 Source Prerequisites
- Confirm that each source mailbox is available and accessible.
- Use the Microsoft 365 authentication method supported by the current EdbMails workflow.
- Verify the permissions required for the selected Microsoft 365 connection method.
- Confirm MFA and Conditional Access requirements before a bulk migration.
- Inventory mailbox size, item count, large attachments, and the folders that are actually in scope.
- Review the Office 365 migration checklist before beginning a production migration.
Test the Migration First
- Select one representative Office 365 mailbox.
- Connect it to the intended Yahoo account.
- Migrate a controlled subset of data.
- Check Inbox, Sent, Drafts, custom folders, and attachments.
- Validate message dates and representative large messages.
- Review the source-to-target mapping.
- Adjust filters or mapping before beginning a larger migration.
Office 365 to Yahoo Mailbox Mapping
Review every source Office 365 mailbox against the intended Yahoo destination. Automatic mapping can reduce manual work when the addresses match, but the proposed mapping should still be checked before migration. Use manual mapping when the source and target email addresses differ.
Migrate Office 365 Mailboxes to Yahoo Mail with EdbMails
Step 1: Download and Install EdbMails software
- Download and install the EdbMails application on your computer.
- Launch the EdbMails software login with your email address and password or ‘Start Your Free Trial’ to begin.

Step 2: Select the Office 365 to IMAP migration option
- Choose the ‘Office 365 Migration’ option and select ‘Office 365 to IMAP migration’.
- Proceed with the default job name or click ‘New Job’ to change.
Step 3: Connect to source Office 365 server
- Click ‘Add New Connection’ to set up a new connection with the source Office 365 server, or choose ‘Connect to Existing’ to reuse a previously configured connection.
- Choose the appropriate connection options and proceed by clicking ‘Next’.
- Then, select your preferred authentication method and hit the ‘Login’ button to continue.
- Sign in through the Microsoft authentication page and load the mailboxes.
- Choose the mailboxes you want to migrate and click ‘Next’ to proceed.

Step 4: Connect to target Yahoo Mail server
- Select ‘Connect to IMAP’ for Yahoo Mail. For a single user, choose ‘Single User / Account Migration’ and provide the Yahoo email address, IMAP server details, and the Yahoo app password required for third-party access.
- Click ‘Login’ to connect to the target mailbox, allow it to load, and then click ‘Next’ to move forward.
- For bulk migration, choose ‘Multiple (Bulk) Users/Accounts Migration’ and proceed by clicking ‘Next’.
- Select ‘IMAP Migration CSV File’ to proceed.
- A prompt will appear to download the sample .csv file. Select a folder on your computer where you would like to save it.
- Open the downloaded CSV file and enter the required Yahoo account details, including email address, app password, IMAP host name, and port. Fields not required for the migration can be set to ‘NA’. Once the updates are complete, save and close the file.
- Click ‘Load Modified CSV File’ to select your updated CSV.
- Review the listed mailboxes, and then click ‘Next’ to continue.
CalDAV/CardDAV Migration
If the current EdbMails workflow and the Yahoo account configuration support the required calendar/contact endpoints, select ‘IMAP with CalDAV/CardDAV Migration CSV File’. Treat this as a separate calendar/contact configuration in addition to IMAP email migration and validate the result after migration.
- You will be prompted to download a sample CSV file. Choose a suitable location on your computer and save the file.
- Open the CSV file and enter the required information, including Source Mailbox Name, Password, Host, Port, CalDAV Username, CalDAV Password, CalDAV Server, CalDAV Folder, CardDAV Username, CardDAV Password, CardDAV Server, and CardDAV Folder. After completing the updates, save and close the file.
- Click ‘Load Modified CSV File’, browse to the folder where your updated CSV is saved, and load it into the application to proceed.
Step 5: Map Office 365 to Yahoo Mail mailboxes
- Select the mailbox mapping option as needed.
- EdbMails can propose source-to-target mailbox mappings. Review every mapping and adjust it manually when the Office 365 and Yahoo addresses do not correspond directly.
Step 6: Start the Office 365 to Yahoo Mail migration
- Click ‘Start Migration’ to begin the transfer.
- After completion, click ‘View Log’ to check the detailed migration report and verify the results on the target server.
Contacts and Calendar Considerations
The current EdbMails workflow includes an IMAP with CalDAV/CardDAV Migration CSV File option. Yahoo supports CalDAV for Yahoo Calendar and third-party application authentication can require an app password. Use the calendar/contact option only when the required Yahoo endpoints, credentials, and the current EdbMails workflow have been verified for the accounts being migrated.
Do not treat IMAP alone as a contact or calendar migration method. Validate representative contacts and calendar events separately when those workloads are included.
Initial and Incremental Migration
The initial migration moves the selected historical mailbox data. If the current EdbMails Office 365-to-Yahoo workflow supports an incremental pass for the configured job, use it to process new or changed items after the first run. Review the migration report after each pass and confirm the expected data in Yahoo.
Post-Migration Validation
- Compare Inbox, Sent, Drafts, and custom folders with the source mailbox.
- Check representative messages, attachments, dates, and folder placement.
- Review migration reports for completed, skipped, failed, or unmapped items.
- Check large messages and attachments separately.
- Validate contacts and calendars separately when those workloads were included.
- Keep the Microsoft 365 mailbox available until the Yahoo mailbox has been validated.
What Happens to New Mail During Migration?
Copying existing mailbox data to a Yahoo account does not automatically move the Microsoft 365 domain or its mail-routing configuration. New mail continues to arrive according to the organization's existing mail-delivery setup until that setup is deliberately changed.
For ordinary @yahoo.com destination accounts, there is no standard step to change your organization's MX records “to Yahoo.” Instead, confirm how future mail should be delivered after the historical data migration and keep the Microsoft 365 source available until that plan is complete.
Should You Delete the Office 365 Mailbox After Migration?
Do not immediately delete or decommission the Microsoft 365 mailbox after the first migration pass. Keep access until the Yahoo mailbox has been validated and the future mail-delivery arrangement is confirmed. Also review any organizational retention, compliance, legal, or licensing requirements before removing the source mailbox.
Common Yahoo Mail Migration Problems
- Yahoo authentication fails: Confirm the Yahoo account can sign in through a browser and generate a new third-party app password when required.
- IMAP connection fails: Verify imap.mail.yahoo.com, port 993, SSL, account credentials/app password, and firewall/network access.
- Yahoo rejects the login: Recheck Yahoo account security settings and regenerate the app password if required.
- Folders are missing: Review source-folder selection, folder compatibility, mapping, and the migration report.
- Large messages fail: Compare the source message with Yahoo's current attachment/message limits and handle oversized items separately when needed.
- Mailbox mapping is wrong: Correct the source-to-target account mapping before rerunning the affected mailbox.
Before Choosing Yahoo Mail as a Replacement
Yahoo Mail can be appropriate when the requirement is an individual email mailbox with IMAP access. It is not a direct replacement for the broader Microsoft 365 collaboration and administration environment. If users still depend on Teams, SharePoint, OneDrive, Exchange-specific permissions, organizational retention, or centralized identity controls, account for those requirements separately before retiring Microsoft 365 services.
