How to Download Office 365 Emails
Downloading Office 365 emails can mean several different things: saving one message, exporting a mailbox to a PST file, exporting search results for an investigation, or creating a recurring backup. These tasks are related, but they are not interchangeable. The right method depends on whether you need a local copy, selected content, multiple mailboxes, recurring protection, or a migration workflow.
This guide explains the practical ways to download or export Microsoft 365 mailbox data, the limitations of each method, and what to check before you begin.
Which Office 365 Email Download Method Should You Use?
| Requirement | Recommended method |
|---|---|
| Export one mailbox to PST | New Outlook or classic Outlook |
| Export selected mailbox data for an investigation | Microsoft Purview eDiscovery |
| Export multiple mailboxes | Administrative or bulk mailbox export workflow |
| Save a few individual messages | Outlook on the web message download |
| Recurring data protection | Dedicated Microsoft 365 backup workflow |
| Move mailbox data to another environment | Migration workflow |
What Data Can You Export From Microsoft 365?
A PST export can contain mailbox folders and supported item data such as email messages, attachments, contacts, calendar items, and tasks. It is a portable copy of mailbox content rather than a complete replica of the Microsoft 365 mailbox configuration.
For example, Outlook PST export does not reproduce every server-side or mailbox setting. Folder views, folder permissions, AutoArchive settings, message rules, blocked-sender lists, retention configuration, and similar service settings should not be assumed to be part of the PST file.
Before Exporting Office 365 Emails
Check the following before starting an export:
- Sign in with the correct Microsoft 365 account and confirm access to the mailbox or folders you need.
- Allow the required mailbox data to synchronize before exporting.
- In classic Outlook, make sure Cached Exchange Mode includes the full period you intend to export; otherwise older items may be missing from the PST.
- Select Include subfolders when you need the mailbox folder hierarchy.
- Confirm that the local computer has enough free storage for the exported data.
- Save the PST to a suitable local location rather than an actively synchronized OneDrive folder.
- If the export is part of a migration project, review the Office 365 migration checklist before moving or retiring source data.
Method 1: Export Office 365 Emails Using New Outlook
Current versions of new Outlook for Windows provide a PST export workflow from the Settings area.
- Open new Outlook and sign in to the Microsoft 365 account you want to export.
- Open Settings.
- Go to Files → Export.
- Select Get started.
- Choose the mailbox or specific folders you want to export and follow the export wizard.
- Save the resulting PST file to the required local location.
New Outlook and classic Outlook do not have identical PST capabilities. If you need the traditional import/export workflow or encounter feature limitations, use classic Outlook.
Method 2: Export Office 365 Emails Using Classic Outlook
Classic Outlook provides the traditional Import/Export wizard for saving Microsoft 365 mailbox content to an Outlook Data File (.pst).
- Open classic Outlook and confirm that the correct Microsoft 365 account is connected.
- Go to File → Open & Export → Import/Export.
- Select Export to a file and click Next.
- Select Outlook Data File (.pst) and click Next.
- Select the mailbox or folder to export and enable Include subfolders when required.
- Choose a local destination for the PST file and complete the export.
Important: If Cached Exchange Mode is enabled, Outlook exports items that are available in the current cache. Before exporting all email, expand the synchronization range to include the required period and allow synchronization to complete.
Method 3: Export Microsoft 365 Mailbox Data Using Microsoft Purview
Microsoft Purview eDiscovery is intended for administrative, legal, investigation, or compliance workflows in which administrators search for relevant content and export the resulting items. It is different from a normal end-user mailbox download.
Purview is appropriate when you need to work with selected mailboxes, date or keyword criteria, case-based searches, or other scoped content. The available export options depend on the eDiscovery workflow, permissions, and configuration used by the organization.
Method 4: Download Multiple Office 365 Mailboxes Using an Export Tool
When an administrator needs to export multiple Microsoft 365 mailboxes, a bulk export workflow can be more practical than repeating the Outlook wizard for each user. EdbMails can export supported mailbox data to PST while retaining mailbox folders, subfolders, and supported item properties.
For the detailed EdbMails PST procedure, see the Office 365 to PST export guide.
Download Individual Emails From Outlook on the Web
If you only need a few messages rather than an entire mailbox, Outlook on the web provides a message download option.
- Open Outlook on the web and select the message you want to save.
- From the message header, select More actions.
- Select Download.
- Save the downloaded message file to the required local location.
This saves an individual message and should not be confused with exporting the full mailbox to PST.
Office 365 Email Export vs Microsoft 365 Backup
A PST export creates a portable copy of selected mailbox content. A recurring backup workflow is designed for ongoing data protection and recovery. Microsoft does not describe Exchange Online as providing a traditional point-in-time mailbox backup mechanism, and a PST export should not automatically be treated as a complete Microsoft 365 backup strategy.
If the requirement is recurring protection rather than a one-time download, use a dedicated backup process. EdbMails documents its separate workflow in the Office 365 Backup guide.
Exporting Office 365 Emails Before Migration
Exporting to PST can provide a portable copy when a migration project specifically requires files, but PST export is only one migration route. For larger or ongoing moves, direct mailbox-to-mailbox migration may be more appropriate because a PST file does not reproduce every mailbox or server-side configuration.
For broader planning, follow the Office 365 migration guide. When direct migration or broader Microsoft 365 migration capabilities are required, review the Office 365 migration Tool.
Common Problems When Downloading Office 365 Emails
- Older emails are missing from the PST: Check the classic Outlook synchronization range and allow the full mailbox period to download before exporting.
- The export is taking a long time: Mailbox size, item count, synchronization status, local storage performance, and PST processing can affect completion time.
- The PST cannot be opened: Confirm the file location, access permissions, Outlook compatibility, and file integrity.
- New Outlook does not show the classic Import/Export path: Use the new Outlook path under Settings → Files → Export, or switch to classic Outlook for the traditional wizard.
- You need only specific investigation content: Use an appropriately scoped Microsoft Purview eDiscovery search/export rather than exporting an entire mailbox.
Using EdbMails for Office 365 Mailbox Export
EdbMails can support administrative mailbox-export scenarios where multiple Microsoft 365 mailboxes or selected mailbox data need to be processed. Keep the export scope aligned with the actual requirement and validate the resulting PST files before relying on them for retention, transfer, or migration preparation.
Conclusion
Use Outlook when you need a straightforward PST export, Outlook on the web when you need to download individual messages, Microsoft Purview when the requirement is search- or investigation-based, and an administrative export workflow when multiple mailboxes need to be processed. Treat recurring backup and migration as separate requirements rather than assuming that a one-time PST export replaces either one.
