An Exchange server failure can interrupt mailbox access and prevent Microsoft Outlook from synchronising with the Exchange mailbox. In Cached Exchange Mode, Outlook stores a synchronised local copy of mailbox data in an Offline Storage Table (OST) file. Although the OST allows users to continue working offline for a limited time, it cannot function independently of the Exchange mailbox indefinitely. If the Exchange server becomes unavailable due to hardware failure, database corruption, accidental mailbox deletion, or permanent server decommissioning, administrators and users often need to recover OST file data to regain access to mailbox contents.

The appropriate recovery method depends on whether the Exchange mailbox can be restored. If the mailbox is available, Outlook can rebuild the OST by synchronising with the server after connectivity is restored. However, if the Exchange server has permanently failed or the mailbox is no longer accessible, the existing OST file may become the only available source of mailbox data.

OST to Office 365 migration

The recovery approach depends on whether the original Exchange mailbox can be restored and whether the existing OST file remains accessible. Microsoft-supported methods are suitable when the Exchange server or mailbox can be recovered, and Outlook is able to re-establish synchronisation.
