If you've just deleted an Outlook profile, it's natural to worry about your mailbox data - especially since Outlook relies on an Offline Storage Table (OST) file to keep a local, synced copy of everything in your mailbox. A lot of people assume that removing the profile wipes out the OST file too, but that's not always true. What actually happens depends on how you removed the profile, whether the OST file is still sitting on your system, and whether you can still reach the mailbox itself.

Whether you can get your data back really comes down to two things: is the original mailbox still reachable, and is the OST file itself still in decent shape? If your Exchange Server or Microsoft 365 account is still active, Microsoft's own recovery methods will usually get you back in. What Actually Happens When You Delete an Outlook Profile??

So Does Deleting a Profile Delete the OST File Too?

For Exchange, Microsoft 365, and IMAP accounts running in Cached Exchange Mode, Outlook keeps that synced mailbox data in an OST file - usually located under the user's local AppData directory.

After a profile gets deleted, you'll typically land in one of these situations:

  • The profile is removed, but the OST file is still there.
  • The profile is removed, and someone deletes the OST file later on.
  • The file gets cleared out during routine system cleanup or by user action.

If the OST file is still around, there's a good chance you can recover the data - it just depends on whether the mailbox is still accessible and whether the file itself is intact.

Can You Actually Recover a Deleted OST File?

That depends entirely on how you lost it in the first place.

Recovery is usually possible when:

  • The OST file still exists in its original folder.
  • It was deleted by accident and is still in the Recycle Bin.
  • A Windows backup or File History snapshot has an older copy.
  • The mailbox is still live on Exchange or Microsoft 365, so Outlook can just build a new synchronised OST from scratch.

Recovery becomes significantly more difficult when::

  • The OST file has been permanently deleted with no backup anywhere.
  • The Exchange or Microsoft 365 mailbox itself has been removed.
  • The mail server is gone, and along with it, any hope of a fresh sync.

Worth remembering: an OST file is only ever a cache of your mailbox - it was never meant to be your primary copy of the data. Microsoft's own advice is to just reconnect Outlook to the mailbox and let it rebuild the cache whenever that's an option.

How to Recover Deleted OST file after Outlook profile deletion

1. Check the Original OST Folder First

If the profile is gone but you never touched the OST file itself, locate the original file before performing any recovery steps.

The default spot is usually:

C:\Users\Username\AppData\Local\Microsoft\Outlook

See if the file's still present. If your mailbox is still active, just set up a new Outlook profile and let it build a new OST by syncing from the server.

If the mailbox is no longer available but the file itself is still on disk, you're now dealing with what's called an orphaned OST - and getting data out of it usually takes a more specialised recovery approach.

An orphaned OST is exactly what it sounds like - a leftover OST file that's no longer tied to any active profile or reachable mailbox.

This usually happens when:

  • The Outlook profile was deleted.
  • The Exchange mailbox itself was removed.
  • The Microsoft 365 account no longer exists.
  • The Exchange server has gone permanently offline.

Outlook won't let you just open an orphaned OST directly - it's still bound to the identity of its original mailbox.
