Common Causes of OST Corruption

If Outlook unexpectedly crashes, fails to synchronize mailbox data, or displays send/receive errors, the underlying cause is often corruption in the Offline Storage Table (OST) file. OST corruption rarely announces itself clearly. It shows up as a vague error, a missing folder, or an inbox that stops updating, and by the time you notice, the file underneath it all may already be damaged.

Understanding the common causes of OST corruption helps determine the most appropriate recovery approach and reduce the risk of future data loss. While some issues can be resolved by recreating the Outlook profile or rebuilding the OST file, these methods are not suitable when the OST becomes corrupted, orphaned, or inaccessible. In such cases, the EdbMails OST to PST Converter can recover mailbox data from the OST file and export it to PST or migrate it to supported destinations.

What Exactly Is an OST File?

An OST (Offline Storage Table) file is the local, offline copy of your Exchange or Microsoft 365 mailbox. When Cached Exchange Mode is switched on in Outlook, everything you see- emails, calendar entries, contacts, tasks- gets mirrored onto this file on your hard drive. That's what lets you keep working when your internet connection drops or the Exchange server is briefly unreachable. Once the connection comes back, Outlook quietly syncs the OST back up with the server.

That constant back-and-forth syncing is convenient, but it's also exactly where things can go wrong. Every sync cycle is a small window where an interruption, whether it's a crash, or a full disk, can leave the file in a half-written, inconsistent state. Do that enough times, or hit it with one bad enough interruption, and the file corrupts.

Why Do OST Files Get Corrupted?

There isn't a single cause behind OST corruption. It's usually one of a handful of recurring triggers, and most of them trace back to something interrupting Outlook or the file system at the wrong moment.

1. Abrupt Power Loss or System Shutdown

A system that shuts down without warning while Outlook is mid-sync is one of the most common ways an OST file ends up damaged. The file is being written to at that exact moment, and an unexpected loss of power cuts that write off halfway, leaving corrupted or incomplete data blocks behind.

2. Forcing Outlook to Close

Ending Outlook through Task Manager, or closing your laptop lid while a large sync is still running, has much the same effect as a power cut. The application doesn't get the chance to finish its write operations or release its lock on the file cleanly, and the OST is left in a broken state.

3. Exchange Server or Network Interruptions

When Outlook can't reach the Exchange server, mid-sync, mid-download, or during a mailbox move, the OST can be left with partial or mismatched data. This is especially common on unstable Wi-Fi, VPN drops, or during Exchange maintenance windows. If Outlook keeps failing to connect to the server, a corrupted or disconnected OST is often the underlying cause.

4. Oversized OST Files

The bigger an OST file gets, the more strain it puts on Outlook and the underlying storage. OST files associated with large mailboxes take longer to process mailbox changes, consume more system resources, and are more susceptible to corruption if synchronization is interrupted. Splitting a large OST into smaller, more manageable PST files is one of the more effective ways to keep this risk down.

5. Malware and Virus Infections

Malware doesn't always target the OST directly, but it can still damage the file indirectly by corrupting the disk sectors it's stored on, interfering with Outlook's processes, or in rare cases altering the file structure outright. An infected system is one of the less obvious but still real contributors to OST corruption.

6. Storage and Disk-Level Issues

Bad sectors, a failing hard drive, or a corrupted file system on the drive holding the OST can damage the file regardless of what Outlook itself is doing. If Windows is already reporting disk errors elsewhere, the OST is not immune.

7. Synchronization Failures

Sometimes the sync process between Outlook and Exchange simply fails partway, without any cause like a crash or power cut. A stalled sync, a mailbox quota issue on the server side, or a timeout can all leave the OST out of step with the server, and Outlook doesn't always recover from that on its own.

8. Human Error

Manually moving, renaming, or editing the OST file while Outlook is running (or shortly after closing it) is a surprisingly common way to trigger corruption. Outlook expects exclusive control over that file, and outside interference breaks that assumption.

Symptoms of a Corrupted OST File

Corruption doesn't always look the same twice, but a few patterns come up often enough to be worth watching for:

  • Outlook won't open, or it hangs indefinitely on the splash screen.
  • Emails, folders, or entire mailboxes go missing without explanation.
  • You see errors such as ‘Outlook data file cannot be accessed’ or ‘the set of folders cannot be opened’.
  • The inbox stops updating even though new mail is clearly arriving on the server.
  • Outlook becomes noticeably slower or freezes when you switch folders.
  • Sync errors pop up repeatedly in the Outlook Sync Issues folder.

If more than one of these is happening at once, it's worth treating the OST as a suspect rather than assuming it's a one-off Outlook bug.

How to Repair or Recover a Corrupted OST File

There's a rough order of operations worth following here, starting with the built-in option and working up from there.

1. Start with ScanPST.exe:

Microsoft ships Outlook with an Inbox Repair tool that fixes minor structural issues. Close Outlook completely, locate ‘ScanPST.exe’ inside your Office installation folder, point it at the damaged OST, and run a scan. It's free and often enough for light corruption, but it wasn't built for severe damage, and it can't help with an orphaned OST that's lost its connection to the mailbox.

2. Try recreating the OST file:

If ScanPST gets nowhere, rename the old OST and let Outlook build a fresh one from a new profile. Outlook resyncs the mailbox from the Exchange server, though anything that hadn't synced yet before the corruption won't come back this way.

3. Use a dedicated OST to PST converter when the above two fail:

This is where a lot of people end up, particularly with severely corrupted, encrypted, orphaned, or password-protected OST files that ScanPST simply can't touch. This is exactly the gap the EdbMails OST to PST Converter is designed to close. It reads the damaged OST directly, without needing the original Exchange connection or Outlook profile, and exports the recoverable mailbox content, emails, contacts, calendars, tasks, and attachments into a clean, importable PST file. The full conversion walkthrough covers the exact steps, and there's a free trial if you want to see how it handles your specific file before committing to a license.

It's also worth checking whether the OST has simply gone orphaned rather than corrupted outright, since a disconnected mailbox (say, after an account deletion or server migration) produces very similar symptoms but has a slightly different recovery path.

Preventing Future OST Corruption

A few habits go a long way toward keeping this from happening again:

  • Shut down Outlook properly: Give it a moment to finish syncing before closing the lid or powering off.
  • Keep Outlook and Windows updated: Patches frequently fix the exact bugs that lead to file corruption.
  • Audit your add-ins periodically: Disable anything you don't actively use, and update the ones you keep.
  • Keep OST files from growing unchecked: Archive older mail and split oversized files before they become a liability.
  • Run antivirus scans regularly: A clean system reduces the odds of the disk or the OST itself being tampered with.
  • Back up mailbox data on a schedule: Exporting to PST periodically means a corrupted OST is an inconvenience, not a disaster.
  • Watch your network stability: If you're on VPN or a flaky connection, since repeated sync interruptions add up over time.

Conclusion

OST corruption is almost never caused by one single thing going wrong. It's usually a combination of an interrupted sync, an oversized file, or a system-level issue that finally catches up with Outlook. Recognising the early symptoms and knowing which repair method to reach for- ScanPST first, then a profile rebuild, then a dedicated recovery tool- can save a fair amount of data.

When the built-in fixes don't cut it, particularly with severely damaged, encrypted, or disconnected OST files, the EdbMails OST to PST Converter gives you a way to recover the mailbox and get back into Outlook without starting from scratch.
