Can EdbMails restore SharePoint data to another Microsoft 365 tenant?

Yes, for supported SharePoint backup restore scenarios. The destination tenant must be prepared with the required sites, access and mapping.

Can I restore only selected content?

Yes. EdbMails supports granular selection of supported SharePoint data, so you can recover a file, folder, library or site rather than the whole environment.

Does SharePoint Online already have recovery features?

Yes. SharePoint includes recycle bins and version history, and Microsoft offers the native Microsoft 365 Backup service. An independent backup adds a separate, customer-controlled copy and restore workflow.

Where is the SharePoint backup stored?

On a location you select, such as a supported local disk or network/shared storage. Your organization controls the repository.

How often should SharePoint backups run?

Base the frequency on your RPO and how often each site changes. Active collaboration sites usually justify more frequent runs than archival sites.

Can I restore a whole site instead of individual files?

Yes. Choose the recovery scope that fits the incident — a file, folder, library, or a broader site-level restore when a large scope is affected.

What SharePoint content can be protected?

The documented scope includes site collections, communication and team sites, libraries, lists, folders, files, OneNote notebooks, events, tasks and contacts. Match the scope to how your organization uses SharePoint.

Do I need Microsoft 365 connectivity during backup and restore?

Yes. The live SharePoint source is read from Microsoft 365, and restores write to a Microsoft 365 destination, so connectivity and valid administrator access are required.

How do I know the backup is recoverable?

Run periodic restore tests of representative content, review job logs, and validate recovered items in SharePoint with the business owner rather than relying on a completed job status alone.

Is an independent backup necessary if we use Microsoft 365 Backup?

That depends on your recovery objectives. Some organizations are satisfied with native recovery; others want an independently stored, customer-controlled copy and supported cross-tenant restore.

Can backups and restores be limited to specific sites?

Yes. Both backup and restore support selecting only the required sites and content rather than the entire tenant.

Why SharePoint Online still needs a backup and restore plan

Microsoft 365 runs on a shared-responsibility model. Microsoft keeps the SharePoint service available and resilient, but protecting your own content against accidental deletion, unwanted bulk changes, departing-employee cleanup and governance gaps remains the customer's responsibility. SharePoint Online includes recycle bins, version history and the native Microsoft 365 Backup service, yet many organizations still want an independently stored copy they control and can restore on their own terms. A backup plan is only complete when it defines both how the copy is created and how data will actually be recovered.

Plan SharePoint backup and restore as one recovery workflow

What is protected

Sites and supported content

Where the copy is stored

The location you select

How often jobs run

Recurring backup schedule

How you restore

Sites, libraries, folders and files

Treating backup and restore as a single workflow avoids the common mistake of discovering a recovery gap only during an incident.

How EdbMails SharePoint backup and restore works

Back upSteps 1–5

1Create a SharePoint backup job and choose the storage location.
2Connect to SharePoint Online with the required administrator access.
3Load and select the SharePoint sites to protect.
4Start the initial backup and review progress logs.
5Run recurring incremental backups to keep the protected copy current.

RestoreSteps 6–7

6Open the restore workflow, select protected data and connect to the destination tenant.
7Map the required content and start restore.

Define recovery objectives (RPO and RTO)

Two targets shape the whole plan. High-change collaboration sites usually justify a tighter RPO than archival sites.

RPO

Recovery point objective

How much recent change you can afford to lose between protected states, which sets how often backups run.

RTO

Recovery time objective

How quickly recovered content must be back with users, which influences how narrowly you scope each restore.

Objective	Question it answers	What it drives
RPO	How much recent change can we lose?	Backup frequency and incremental schedule
RTO	How fast must content be restored?	Restore scope and destination choice
Retention	How long must the copy be kept?	Repository capacity and planning

SharePoint restore scenarios

Restore deleted files or folders

When protected content is available in the backup, administrators can recover the required scope without rebuilding the entire environment.

Restore a document library

Library-level recovery is useful when a larger set of files or folders has been removed or changed. See SharePoint document library backup.

Restore a whole site or site collection

When an entire site is affected, a broader restore is more efficient than recovering item by item. See SharePoint site collection backup.

Restore SharePoint content to another tenant

The current EdbMails product content supports restoring backed-up SharePoint data to the same or another Microsoft 365 tenant. See restore SharePoint backup to another tenant.

Detailed SharePoint restore workflow

When restoration is required, first identify the exact recovery point and scope, and avoid restoring more data than necessary. If a single library or folder is affected, use the narrowest supported recovery scope; if an entire site has been deleted or widely changed, a broader site-level restore may be more appropriate.

Open the SharePoint restore workflow in EdbMails.
Select the protected backup source.
Identify the site, library, folder or supported items to restore.
Connect to the destination Microsoft 365 tenant.
Map the protected source content to the correct target location.
Run the restore.
Review logs and validate the recovered content with the business owner.

Same-tenant vs different-tenant restore

Same-tenant restore

Used for normal recovery after accidental deletion or unwanted changes.

Accidental deletionUnwanted changes

Different-tenant restore

Used when recovering into a replacement tenant, testing disaster recovery, consolidating tenants or separating business units.

Replacement tenantDR testingConsolidationBusiness-unit separation

The target environment should be prepared with the required sites, administrator access and mapping before starting a cross-tenant restore.

Customer-selected storage

Local storage

Network storage

Backup storage and incremental protection

Protected data is stored on customer-selected local or network storage, so your organization decides where the copy resides and how it is secured. After the first full backup, later runs can operate incrementally to process only new or changed content. See SharePoint incremental backup and SharePoint backup to local storage.

Verify every restore

A backup is only proven by a successful restore.

Restore a representative file

Restore a representative folder

Restore a representative site

Content opens where expected

Time recorded against your RTO

Permissions and metadata verified

A backup is only proven by a successful restore, so recovery should be exercised before it is needed. Restore a representative file, folder and site into a low-risk location, confirm the content opens and appears where expected, and record how long it took so you can measure it against your RTO. Where permissions or metadata matter to the business, verify them explicitly in SharePoint rather than assuming they carried across.

SharePoint backup and restore checklist

Identify critical sites and content.

Confirm administrator access and permissions.

Estimate protected data volume and choose the repository.

Run and verify the first full backup.

Schedule recurring incremental runs to match your RPO.

Test representative file, library and site restores.

Document cross-tenant recovery requirements.

Review scope when new sites are created or ownership changes.
