Does Microsoft back up SharePoint Online?

Yes. Microsoft 365 Backup currently protects SharePoint Online with full-site and granular file/folder restore.

Is version history the same as backup?

No. Version history rolls back individual documents on the live site; it does not cover deleted libraries, deleted sites or cross-tenant recovery.

Is the recycle bin a backup?

No. It recovers recently deleted items within a limited, time-bound window and is not a separately managed repository.

Is retention the same as backup?

No. Retention is a governance control for preserving or deleting content per policy, not an on-demand recovery workflow.

If Microsoft 365 Backup exists, why use an independent backup?

For a copy stored in a repository you control, supported cross-tenant restore, and recovery options independent of the live service.

When is native recovery enough on its own?

When it meets your RPO/RTO, you do not need a customer-controlled copy, and native restore covers your scenarios.

How long does the recycle bin keep deleted items?

By default around 93 days across the first and second stage, after which items are no longer available there.

Can an independent backup restore to a different tenant?

Yes. EdbMails supports restoring backed-up SharePoint data to the same or a different Microsoft 365 tenant.

Should I use native and independent backup together?

Many organizations do: native recovery for everyday undeletes and rollbacks, plus an independent copy where repository control or risk isolation matters.

Does retention protect against ransomware or bulk changes?

Retention is not designed as ransomware recovery. A separately controlled backup with an access-restricted repository is the more relevant recovery layer.

How do I decide what my organization needs?

Work through the decision framework: inventory native capabilities, define RPO/RTO, decide on repository control and cross-tenant needs, compare cost, and test both recovery paths.

SharePoint Retention vs Backup: Do You Still Need SharePoint Online Backup?

See where native retention ends and independent recovery begins

SharePoint Online includes several native recovery and governance features — recycle bins, version history, Microsoft Purview retention and the Microsoft 365 Backup service. They overlap in people's minds but solve different problems. This page explains the differences and when an independent, customer-controlled backup such as EdbMails still adds value.

These features solve different problems

Feature	Primarily helps with	Key limitation to understand
Recycle bin	Recovering recently deleted items	Time-bound window (by default around 93 days across both stages)
Version history	Rolling a document back to an earlier version	Per-item; does not cover deleted libraries or sites
Purview retention	Preserving or deleting content per governance policy	A compliance control, not an on-demand recovery tool
Microsoft 365 Backup	Native backup and restore inside Microsoft 365	Repository stays within the Microsoft trust boundary
Independent backup (EdbMails)	A separate, customer-controlled copy and restore	Customer manages the repository and its security

SharePoint recycle bin vs backup

The recycle bin recovers recently deleted content within Microsoft's native service, across a first-stage and second-stage bin, but only for a limited, time-bound window. It is convenient for quick undeletes, but it is not a separately managed repository and does not help once the window passes.

Version history vs backup

Version history is excellent for rolling a single document back to an earlier state, and it is usually the fastest fix for an editing mistake. It operates per item on the live site, so it does not address a deleted library, a deleted site, or recovery into a different tenant.

Microsoft Purview retention vs backup

Retention focuses on governance: preserving or deleting content according to policy and legal requirements. That is a different operational goal from an on-demand recoverable backup. Retention can keep content from being lost prematurely, but it is not designed as a self-service recovery workflow.

Retention goalPreserve or delete content according to policy and legal requirements.

Backup goalProvide an on-demand recoverable copy and a self-service recovery workflow.

Microsoft 365 Backup vs independent backup

Microsoft now provides native SharePoint backup, including granular file and folder restore. That makes the meaningful question architectural rather than "does Microsoft back up SharePoint." Native Backup keeps the protected copy inside Microsoft's platform; an independent product such as EdbMails keeps a copy in a repository you control and supports restore to the same or a different tenant.

Native

When native recovery may be enough

Microsoft-managed backup meets your recovery point and recovery time objectives.
You do not need a copy stored in your own environment.
Native restore capabilities cover your recovery scenarios.

Independent

When an independent backup may still be useful

You want a copy stored on infrastructure you control.
You need supported cross-tenant restore.
You prefer a customer-managed local or network repository.
You want recovery options that are independent of the live service and its credentials.

A decision framework

List the native Microsoft recovery capabilities you already license and have configured.

Define your RPO and RTO for SharePoint content.

Decide whether an independently stored repository is required by policy or risk appetite.

Decide whether cross-tenant restore is a requirement.

Compare multi-year cost and operational responsibility for each option.

Test both native and independent recovery workflows before committing.

Does SharePoint Online need backup?

There is no universal answer. The decision should be based on recovery objectives and architecture, not on the outdated claim that Microsoft provides no SharePoint backup. For many organizations the strongest position is a combination: use native recovery for everyday undeletes and rollbacks, and add an independent copy where repository control, cross-tenant restore or risk isolation justify it.
