Does Microsoft provide native SharePoint backup?

Yes. Microsoft 365 Backup supports SharePoint protection with full-site and granular file/folder restore.

Is EdbMails a SaaS backup service?

No. The current workflow is desktop-software based, storing the protected copy on customer-selected storage.

What should I compare across SharePoint backup tools?

Repository ownership, recovery granularity, cross-tenant restore, cost model, reporting, how new sites are added to protection, and practical limits.

Is native Microsoft 365 Backup or EdbMails cheaper?

It depends on data volume, retention and existing storage. Native Backup uses consumption-based pricing; EdbMails uses software licensing with customer-provided storage. Compare total multi-year cost.

Can native Microsoft 365 Backup and EdbMails be used together?

Yes. Native Backup offers Microsoft-managed recovery, while EdbMails adds an independently stored, customer-controlled copy. Many organizations evaluate both.

Does EdbMails store SharePoint data in its own cloud?

No. EdbMails stores the protected copy on storage you select and control, such as local or network storage.

Can EdbMails restore SharePoint data to a different tenant?

Yes, the current product content supports restoring backed-up SharePoint data to the same or a different Microsoft 365 tenant.

How do I verify recovery fidelity before buying?

Run a trial restore of representative content and confirm the specific metadata, permission and structure behaviors your organization depends on, rather than relying on a feature list.

Does a retention policy remove the need for backup?

No. Retention preserves or deletes content according to policy, which is a different operational requirement from an on-demand recoverable backup. Many organizations use both.

Is SharePoint backup software the same as a SharePoint backup tool?

The terms generally reflect the same evaluation intent. Treat them as one requirement and compare the architecture rather than the keyword.

SharePoint Backup Software Comparison

Choosing SharePoint backup software is no longer a question of whether SharePoint can be backed up at all. Microsoft now offers a native Microsoft 365 Backup service, SaaS vendors offer cloud-to-cloud protection, and tools such as EdbMails provide customer-controlled backup to storage you select. This page compares those architectures so you can match the approach to your recovery requirements. For the EdbMails product overview, see SharePoint Online Backup.

Native backup SaaS backup Customer-controlled

Why SharePoint data protection is the customer's responsibility

Microsoft 365 uses a shared-responsibility model: Microsoft keeps the SharePoint service available and resilient, while protecting your own content against accidental deletion, unwanted bulk changes and governance gaps remains your responsibility. Native recycle bins, version history and Microsoft 365 Backup all help, but the comparison that matters is which backup architecture best fits how you need to recover, not whether Microsoft keeps the platform running.

Common reasons organizations back up SharePoint

Accidental or malicious deletion of files, folders, libraries or whole sites.

Unwanted bulk changes synchronized from endpoints into libraries.

Departed-employee and decommissioned-site content that must be retained.

Ransomware or destructive incidents affecting SharePoint content.

Tenant consolidation, migration or restructuring that needs a recoverable copy.

Governance or business requirements for an independently stored copy.

Three common SharePoint backup approaches

Native Microsoft 365 Backup

Microsoft provides native SharePoint backup with full-site and granular file/folder restore, stored inside the Microsoft 365 trust boundary and managed through the Microsoft admin experience.

Microsoft managed

SaaS backup platforms

Hosted vendors typically operate both the backup application and the storage repository, and customers access backup, retention and recovery through the vendor's service.

Vendor hosted

Customer-controlled backup software

EdbMails runs in the customer environment and stores protected SharePoint data on administrator-selected local or network storage, with supported same-tenant and cross-tenant restore.

EdbMails

SharePoint backup software comparison

Area	Microsoft 365 Backup	SaaS backup	EdbMails
Repository	Microsoft managed	Vendor managed	Customer selected (local/network)
Granular restore	Supported	Varies by vendor	Supported SharePoint content restore
Cross-tenant restore	Scenario dependent	Varies by vendor	Supported in current EdbMails content
Cost model	Consumption-based protected storage	Per-user/workload or storage subscription	Software licensing + customer storage
Operational model	Native service	Hosted service	Customer-run desktop application

Where EdbMails is differentiated

EdbMails focuses on a customer-controlled architecture that keeps the protected copy, the storage choice and the restore options in the administrator's hands.

Customer-controlled local or network storage for the protected copy.

Incremental backup workflow after the first full backup.

Selective site and content protection.

Same-tenant or supported cross-tenant restore.

Cost-model comparison

Microsoft 365 Backup currently uses consumption-based pricing tied to protected content. SaaS vendors commonly use per-user, per-workload or storage-based subscriptions. EdbMails uses software licensing together with customer-managed storage. Buyers should model several years of total cost, licensing plus storage and administration, rather than comparing only the initial purchase price.

Recovery-fidelity comparison

Before purchasing any SharePoint backup product, verify how it handles metadata, permissions, lists, libraries, site structure and item-level recovery, because these behaviors differ between products and directly affect how usable a restore is. Confirm the specific fidelity behaviors you depend on during a trial restore rather than assuming them from a feature list.

How to run a SharePoint backup tool evaluation

Document your exact SharePoint scope, data volume, number of sites and recovery objectives.

Shortlist products that support that scope and your required restore destinations.

Confirm where the backup is stored and who controls the repository and access.

Verify granular and site-level restore, and cross-tenant restore if required.

Run a trial that includes a real restore of representative content, not just a backup job.

Check reporting, logs, and how new sites are added to protection.

Model multi-year cost and operational responsibility before deciding.

Questions for vendor evaluation

Where is the backup physically stored, and who controls it?

Who controls repository access and administrator permissions?

Can data be restored to another tenant?

What granular recovery is supported?

How are new SharePoint sites added to protection?

What reporting and logs are available?

What are the practical limits and throttling dependencies?

Native Microsoft recovery and independent backup together

SharePoint Online already includes recycle bins and version history, and Microsoft now offers Microsoft 365 Backup with full-site and granular file/folder restore. These should be treated as part of the overall strategy rather than ignored. EdbMails is relevant when the organization wants a separate, customer-controlled copy, a local or network repository, and supported restore that may include recovery to another Microsoft 365 tenant. The two approaches can be evaluated together instead of as mutually exclusive. See SharePoint retention vs backup.
