What is a SharePoint migration assessment?

It is a pre-migration review of source sites, content, ownership, target mapping, migration complexity and validation requirements.

Why assess SharePoint before migration?

Assessment helps avoid moving unnecessary content, identifies high-risk sites, improves target mapping and makes migration waves easier to plan.

Should every SharePoint site be migrated?

Not necessarily. Review inactive, obsolete or unnecessary sites and decide whether they should be migrated, excluded or handled separately.

What should be produced after the assessment?

Typical outputs include a source inventory, approved scope, target mapping, pilot candidates, migration waves, risk register and validation plan.

Does EdbMails perform the business assessment automatically?

The supplied EdbMails content supports migration execution, mapping, selection, incremental migration and logs. Business assessment and migration governance remain planning activities for the organization.

How detailed should the SharePoint site inventory be?

Record each site collection, subsite, owner, business purpose and migration priority so the team can define scope and plan migration waves accurately.

How do I decide the target-site mapping during assessment?

Determine the intended destination for each source site and document changes to names, URLs or ownership. EdbMails supports automatic, manual and previous mapping options at migration time.

What makes a SharePoint site complex to migrate?

Large or heavily used libraries, complex permissions or metadata, sites needing reorganization and limited migration windows all add complexity and may require multiple waves.

How do I choose pilot candidates during assessment?

Select representative sites that reflect typical content, mapping and configuration rather than only the simplest site, so the pilot tests realistic migration behavior.

Does the assessment need Microsoft Entra app registration details?

The SharePoint migration workflow uses separate Microsoft Entra Source and Target application registrations, so confirm those access requirements as part of planning.

How does the assessment connect to the migration itself?

The assessment outputs feed EdbMails execution. After approving scope and mapping, you connect the source and target tenants, select sites, migrate supported content and review logs.

SharePoint Migration Assessment

Assess Your SharePoint Environment Before Migration

A successful SharePoint migration starts with a clear understanding of the existing environment. This EdbMails guide helps you assess sites, content volume, ownership, permissions, and destination requirements so you can identify potential migration challenges and prepare a realistic migration scope.

What a SharePoint Migration Assessment Covers

A SharePoint migration assessment evaluates the source environment before migration so administrators can define scope, identify business-critical sites, plan target architecture, estimate migration waves and reduce avoidable issues during production migration.

The assessment should be completed before configuring large SharePoint migration jobs. EdbMails can then be used to connect the source and target tenants, select the approved sites, map them to destination sites, migrate supported content and review migration logs.

What to assess before SharePoint migration

Assessment area	What to review
Site inventory	Site collections, subsites, ownership, business purpose and activity.
Content scope	Lists, libraries, documents, files, folders and other supported content required in the target.
Obsolete content	Inactive, duplicate or unnecessary sites and content that may not need migration.
Target architecture	Target site names, URLs, mapping and organizational structure.
Permissions	Critical site and content access that should be validated after migration.
Metadata	Business-critical metadata required by target workflows.
Migration windows	When sites can be migrated and whether the source remains active.
Validation	Which site owners will verify migrated content and approve cutover.

Step 1: Inventory the source SharePoint environment

Create a list of the SharePoint sites in scope and record their owners, purpose and migration priority. Identify sites with critical document libraries or business workflows that require closer validation after migration.

Step 2: Classify sites by migration action

Migrate: Active business sites that should move to the target tenant.

Review: Sites that require an owner or business decision before migration.

Exclude: Obsolete or unnecessary sites that do not belong in the destination.

Archive separately: Content that must be retained but does not need to remain active in SharePoint.

Step 3: Assess target-site mapping

Define where each source site should migrate. EdbMails supports source-to-target mapping, but the migration team should determine the intended destination before production runs. Document changes to site names, URLs, ownership or organization structure.

Step 4: Assess migration complexity

Number of SharePoint sites in scope.

Large or heavily used document libraries.

Sites with complex permissions or metadata.

Sites requiring reorganization in the target.

Business-critical sites with limited migration windows.

Sites requiring multiple migration waves or a final incremental pass.

Step 5: Define pilot candidates

Select representative SharePoint sites that reflect the content and configuration found across the broader environment. Avoid choosing only the simplest site. A useful pilot should test realistic content, target mapping and post-migration validation.

Step 6: Create a migration risk register

Risk	Mitigation
Incorrect target mapping	Review and approve source-to-target mapping before migration.
Obsolete content copied to target	Complete cleanup decisions before production migration.
Source changes during migration	Plan an incremental pass before final cutover.
Failed or skipped items	Review migration logs after each wave and remediate promptly.
Business content missing or misplaced	Require site-owner validation for representative migrated content.

Turn the assessment into a migration plan

The assessment should produce a source inventory, approved scope, target mapping, migration-wave plan, pilot selection, cutover approach and validation ownership. Use those outputs as inputs to the SharePoint Migration Project Plan.
