What is the most important SharePoint migration best practice?

Start with a clear inventory and target mapping, then validate the approach through a representative pilot before scaling the migration.

Should obsolete SharePoint content be migrated?

Not automatically. Review unnecessary or obsolete content and exclude it where appropriate before migration.

Why should SharePoint migrations be performed in batches?

Controlled waves make it easier to monitor migration progress, resolve issues and validate the target environment.

Should I run an incremental migration before cutover?

If the source remained active during the main migration, a later incremental pass can process supported new or modified content before final transition.

How should I validate SharePoint migration?

Review logs and verify representative sites, lists, libraries, files, folders, and critical permissions or metadata where required.

How many sites should I migrate in each batch?

There is no fixed number. Group sites by department, owner or migration wave so each batch stays easy to monitor and validate.

Why does EdbMails require separate Source and Target Entra applications?

The SharePoint workflow uses distinct Microsoft Entra Source and Target application registrations so source and target access are configured and consented separately.

How should I handle source-to-target mapping during migration?

Review the automatic mapping results and apply manual mapping when target site names or URLs differ. EdbMails also supports a previous mapping option for repeated runs.

When should I schedule SharePoint migration batches?

Schedule migration around active usage where possible, and define a clear cutover point so a final incremental pass can process supported changes before transition.

What belongs in the final migration status record?

Record completed sites, remaining exceptions, migration dates, target locations and unresolved issues so support teams have a clear project record after cutover.

Do best practices change for tenant-to-tenant SharePoint migration?

The same practices apply. Inventory, mapping, pilot testing, batching, incremental passes and validation remain important when moving between Microsoft 365 tenants.

Core Practices for Successful SharePoint Migration

A successful SharePoint migration depends on planning, source cleanup, target design, site mapping, pilot testing, staged execution, incremental passes and post-migration validation. The migration tool is only one part of the project.

The EdbMails SharePoint migration guide already recommends reviewing the source environment, planning mapping, running a pilot, migrating in manageable batches, scheduling around active usage, reviewing logs and running an incremental pass before the final transition. This page expands those practices into a structured migration checklist.

1. Inventory the SharePoint environment

List the source site collections, subsites, lists, libraries and business-critical content in scope. Record site ownership and business importance so the migration team can prioritize sites and avoid moving content without a clear owner.

2. Clean up obsolete content before migration

Review duplicate, obsolete or unnecessary content and exclude it from the migration where appropriate. Reducing unnecessary source content can simplify validation and avoid reproducing outdated information in the target tenant.

3. Design the target SharePoint structure

Decide where each source site should go before production migration. Document target URLs, site names, ownership and required target-site preparation. This is especially important when the source and target information architecture are different.

4. Configure source and target access correctly

The current EdbMails SharePoint workflow requires separate Microsoft Entra Source and Target application registrations. Confirm application details, permissions and admin consent before scheduling migration batches.

5. Run a representative pilot migration

Select a site that includes realistic lists, libraries, files and folder structures. Use the pilot to validate authentication, mapping, migration behavior, logs and the target environment before larger production waves.

6. Migrate in manageable batches

Group sites by department, business function, owner or migration wave. Smaller controlled batches are easier to monitor and validate than a single oversized migration.

7. Use source-to-target mapping deliberately

Review automatic mapping results and manually correct mappings when target site names or URLs differ. Treat mapping as an explicit project control rather than assuming every source site has an obvious destination.

8. Keep the source active only with a cutover plan

If users continue working in the source SharePoint environment during migration, define when the final catch-up pass will run. Use EdbMails incremental migration for supported new or modified content before the operational transition.

9. Review migration logs after every batch

Use logs to identify completed, skipped and failed operations. Resolve issues after each wave rather than postponing all validation until the end of the project.

10. Validate representative content in the target

Open migrated sites, libraries, files and folders. Validate business-critical metadata and permissions where required. Site owners should confirm important content before the source environment is retired or access changes.

11. Document final migration status

Record completed sites, remaining exceptions, migration dates, target locations and unresolved issues. A clear project record helps support teams after cutover.
