What should a SharePoint migration project plan include?

It should include discovery, source inventory, target design, technical preparation, pilot migration, production waves, incremental cutover, validation and issue ownership.

Should a SharePoint migration include a pilot phase?

Yes. A representative pilot helps validate authentication, target mapping, migration behavior and post-migration results before larger production waves.

Why use migration waves?

Waves divide a large migration into manageable groups so issues can be resolved and validated before the next batch.

When should incremental migration run?

If the source remains active, plan an incremental pass close to the final transition to process supported new or modified content.

Who should validate the migrated SharePoint sites?

Technical teams should review logs, while the relevant SharePoint site owners should verify representative business content in the target.

What does the discovery phase of a migration plan cover?

Discovery inventories the source site collections and subsites, identifies site owners and business-critical content, and records the lists and libraries that require validation.

Why does the EdbMails workflow require separate Source and Target app registrations?

The documented workflow uses separate Microsoft Entra Source and Target applications so that read-oriented source access and target write access can be configured and consented independently.

How are source sites mapped to target sites in the project plan?

A source-to-target mapping document is created during target design, and EdbMails supports automatic, manual and previous migration mapping options that should be reviewed before production migration.

Can multiple SharePoint sites be included in a single migration project?

Yes. The EdbMails workflow supports selecting multiple sites and migrating them in grouped waves organized by department, business unit, owner or priority.

What should post-migration validation confirm?

It should confirm critical sites and document libraries, representative files and folders, important permissions and metadata where required, and business acceptance recorded against outstanding issues.

When can the source SharePoint environment be decommissioned?

The source should be decommissioned or restricted only after final log review, validation of critical content and confirmed business acceptance.

SharePoint Migration Project Plan

Plan SharePoint Migration from Discovery to Cutover

Build a SharePoint migration project plan that covers discovery, scope, target preparation, pilot runs, content transfer, and final validation. This EdbMails guide helps administrators organize responsibilities and milestones, while the migration tool supports moving selected SharePoint content between tenants.

What a SharePoint Migration Project Plan Defines

A SharePoint migration project plan defines what will move, where it will move, how the migration will be tested, how users will transition, and how the target will be validated. A structured plan is especially important for tenant-to-tenant migration, mergers, consolidation and projects involving many SharePoint sites.

The EdbMails SharePoint migration workflow supports site selection, source-to-target mapping, multiple-site migration, incremental passes and migration logs. These capabilities fit naturally into a phased project plan.

Phase 1: Discovery and inventory

Inventory source SharePoint site collections and subsites.

Identify site owners and business-critical content.

Record lists, libraries and document areas that require validation.

Identify obsolete or unnecessary content that can be excluded.

Estimate the number of SharePoint sites included in the migration scope.

Phase 2: Target design

Define the target Microsoft 365 tenant and SharePoint architecture.

Decide whether target sites will be created beforehand or through the supported migration workflow where applicable.

Create a source-to-target site mapping document.

Identify URL, naming or ownership changes.

Document the target administrative accounts and required access.

Phase 3: Technical preparation

Prepare source and target SharePoint URLs and Admin Center URLs.

Create the separate Source and Target Microsoft Entra applications required by the EdbMails workflow.

Add the documented permissions and grant admin consent.

Confirm source site access and target site readiness.

Install EdbMails on the migration computer.

Phase 4: Pilot migration

Select a representative site that includes typical SharePoint content and business requirements. Connect to source and target, map the site, perform the migration, review logs and validate the target with the site owner. Use the results to adjust the production plan.

Phase 5: Production migration waves

Wave activity	Project action
Site grouping	Organize sites by department, business unit, owner or priority.
Site selection	Select only the approved source sites and supported content.
Mapping review	Verify source-to-target mappings before migration starts.
Migration	Run the approved batch and monitor progress.
Log review	Investigate failed or skipped operations before the next wave.
Business validation	Have site owners verify representative content in the target.

Phase 6: Incremental migration and cutover

If the source remains active, schedule an incremental pass near the final transition. EdbMails can process supported new or modified content after the initial migration when the documented incremental conditions are maintained. Define when users should begin working exclusively in the target and communicate the transition clearly.

Phase 7: Post-migration validation

Review final migration logs.

Validate critical sites and document libraries.

Check representative files and folders.

Verify important permissions and metadata where required.

Record outstanding issues and owners.

Confirm business acceptance before decommissioning or restricting the source.
