Can I restore only selected Office 365 mailbox items?

EdbMails provides granular restore options so administrators can select the required mailbox, folder or supported items rather than restoring every protected mailbox.

Can I restore Office 365 backup to another tenant?

EdbMails supports restore scenarios to Microsoft 365 destinations. The target environment must be prepared and the administrator should verify target mailbox availability, permissions and storage before starting the restore.

Can I restore an Office 365 backup to Exchange Server?

Supported EdbMails backup workflows can restore mailbox data to supported Exchange Server destinations, which is useful for organizations operating hybrid or mixed Microsoft messaging environments.

Is the Office 365 backup encrypted?

Yes. EdbMails protects its backup using AES 256-bit encryption and supports a private encryption key option.

Does every backup run copy the complete mailbox again?

No. After the initial full backup, consecutive backup runs can operate incrementally and process newly added or modified mailbox items.

What is the difference between RPO and RTO for Office 365 backup?

RPO is how much recent mailbox change you can afford to lose between protected states, which drives backup frequency. RTO is how quickly recovered data must be back with users, which influences restore scope and destination.

Can I restore a mailbox to a different user than the original?

Restores target a prepared destination mailbox. Verify the destination account, permissions and storage before the restore, and confirm this matches your organizational and licensing requirements.

Which mailbox types can be protected and restored?

EdbMails is designed for Microsoft 365 user mailboxes, archive mailboxes, shared mailboxes and supported Public Folder scenarios. Confirm the exact scope for your environment before relying on it in production.

How often should I test a restore?

Test recovery before relying on the backup and then periodically, as well as after any major change to mailboxes or storage. A backup is only proven by a successful restore.

Do I need Microsoft 365 connectivity to restore?

Restoring to Microsoft 365 or Exchange requires connectivity and valid authorization to the destination. Browsing the protected backup to select the recovery scope is done within the EdbMails application.

Can I keep the backup after an employee leaves?

Yes. A locally controlled encrypted backup can retain former-employee mailbox data independently of the live account. Evaluate retention, licensing and legal requirements for your organization.

Office 365 Backup and Restore: Secure Mailbox Protection and Flexible Recovery

Office 365 backup is only valuable when the protected data can be restored quickly and at the required level. EdbMails provides a local, encrypted Microsoft 365 mailbox backup and restore workflow that helps organizations protect Exchange Online mailbox data and recover it when users delete data, mailboxes become inaccessible, retention requirements change, or a separate recovery copy is required.

Administrators can back up user, archive and shared mailboxes and Public Folders to storage the organization controls, then browse and restore at mailbox, folder or item level — to Microsoft 365 or a supported Exchange Server destination. For the full product overview, see EdbMails Office 365 Backup. This page focuses on the complete backup-and-restore lifecycle.

Protect Browse Restore

Why backup and restore should be planned together

A successful Microsoft 365 data-protection strategy defines both how the backup is created and how the data will be recovered. Retaining another copy of mailbox data is not enough — administrators should know where the backup is stored, how it is protected, what recovery levels exist, who can access it and how restored data is returned to users.

Backup location
Store mailbox backups on a local disk, external storage or supported shared/network location controlled by your organization.
Backup security
Protect the backup with AES 256-bit encryption and, where required, a private encryption key.
Incremental protection
After the initial full backup, consecutive runs process newly added or modified items instead of another full copy.
Granular recovery
Restore complete mailboxes, selected folders or individual items according to the recovery requirement.
Destination flexibility
Restore supported mailbox data to Microsoft 365 or Exchange Server, not just view the backup.

Define your recovery objectives (RPO and RTO) first

Before configuring a backup, define two recovery targets. The recovery point objective (RPO) is how much recent mailbox change the organization can afford to lose between protected states; it drives how often you run backups. The recovery time objective (RTO) is how quickly recovered data must be back in users' hands; it influences restore scope and destination choices. Writing these down first turns backup from a copy you hope works into a strategy you can measure against.

RTO — recovery time

How EdbMails backup and restore works

1
Connect to the Microsoft 365 tenant
Install EdbMails on a supported Windows computer and connect to the tenant using modern authentication. Load the required mailboxes and select the users or folders to protect.
2
Choose where the backup is stored
EdbMails creates the mailbox backup in storage selected by the administrator — a copy under your own storage control. See Office 365 backup to local storage.
3
Protect the backup with encryption
Backup data is protected with AES 256-bit encryption. For additional control, use a private encryption key — archive it securely, as it is required to access or restore protected data.
4
Run full and incremental backups
The first backup establishes the protected copy; subsequent runs operate incrementally. See Office 365 incremental backup.
5
Browse the backup and select what to restore
Open the protected backup, browse the mailbox hierarchy and choose the recovery scope — a complete mailbox, a folder such as Inbox or Calendar, or specific items.
6
Restore to Microsoft 365 or Exchange
Restore the selected data to a Microsoft 365 tenant or supported Exchange Server destination — recovering deleted data, rebuilding content, or returning data to an Exchange environment.

Office 365 mailbox restore scenarios

Recover accidentally deleted data

When deleted messages, folders, contacts or calendar items exist in a backup, an administrator restores the required scope rather than recovering an entire environment.

Restore after a mailbox or account change

Retain data for former employees, reorganized departments or inactive accounts. A local encrypted backup provides a separate recovery copy even when the original mailbox later changes.

Recover selected folders or items

Not every incident needs a full restore. Granular recovery reduces unnecessary data movement when only specific folders or items are needed.

Restore to another Microsoft 365 tenant

Where supported, restore backed-up mailbox data to another tenant — useful for restructuring, tenant changes, recovery testing or administrative transitions. Prepare the target first.

Restore to Exchange Server

Organizations with hybrid or mixed environments can restore protected mailbox data to an Exchange Server destination — more flexibility than a backup restorable inside one service only.

Granular backup and restore

EdbMails is built for administrators who do not always want an all-or-nothing operation. Selection and filtering options narrow the scope of both backup and recovery.

Select individual mailboxes instead of protecting every user in the tenant.
Select required folders when only part of a mailbox needs protection.
Use available include/exclude filters such as date, subject and attachment criteria where applicable.
Restore selected mailbox folders or supported individual items from the backup.
Preserve the mailbox folder hierarchy represented in the protected copy.

Encrypted Office 365 backup for recovery

A backup may contain the same sensitive information as the production mailbox, so EdbMails uses AES 256-bit encryption for its protected backup format. Use the default encryption handling or configure a private encryption key for additional control. If a private key is selected, store it securely and include it in the recovery documentation — losing it can prevent access to data protected with that key.

Full backup vs incremental backup

A first backup establishes the base protected copy; repeatedly creating another full copy consumes extra bandwidth and storage. EdbMails supports incremental behavior for consecutive runs.

Full backup

The first run establishes the complete protected mailbox copy — the base that incremental runs build on.

then

Incremental backup

Consecutive runs process only new or modified items, keeping the backup current without moving unchanged data every run.

Backup and restore to local or network storage

The ability to choose where the protected copy is stored is a key architectural difference. EdbMails keeps backup data on storage you control, including supported local and shared/network locations — useful when you have internal requirements for storage ownership, offline retention or administrative control.

Storage capacity, redundancy, access control and secondary-copy strategy remain the responsibility of the organization. For critical backups, use storage practices that match your recovery and compliance requirements.

Verify every restore, don't assume it worked

A backup is only proven by a successful restore, so recovery should be tested before it is needed in an incident. Build verification into the routine rather than treating it as a one-time setup task.

Restore a representative mailbox, a single folder and a single item, so each recovery level is exercised.
Confirm the restored content opens correctly and that folder hierarchy and timestamps are as expected.
Restore to a test or alternate destination where appropriate to avoid overwriting live data.
Record how long the test restore took, to validate it against your RTO.
Repeat verification periodically and after any major change to mailboxes or storage.

Office 365 Backup vs Microsoft 365 retention

Retention, recycle-bin and native recovery can be important parts of data governance, but retention and backup solve different operational requirements. Retention policies preserve or delete content according to policy; a separately managed backup creates another protected copy that can be retained and recovered according to the backup workflow. Microsoft also offers Microsoft 365 Backup as a native paid service — compare native, SaaS and locally controlled options by recovery objectives, storage model, workload coverage, cost and control. See our Microsoft 365 backup software comparison.

Office 365 backup and restore checklist

Identify which mailboxes, archives, shared mailboxes and Public Folders require protection.
Estimate source data size and provide adequate backup storage.
Decide whether backup data will be kept locally, on network storage or another protected strategy.

Define the frequency of subsequent incremental backup runs.
Test recovery of representative mailbox data before relying on the backup for production recovery.
Document who is authorized to start backups and restores.
Retain backup logs and periodically verify that expected mailboxes are protected.
