Can I migrate IMAP email to Google Workspace?

Yes. EdbMails supports an IMAP-to-IMAP workflow for moving supported email data into Gmail in Google Workspace.

Does IMAP migrate calendars and contacts?

No. Basic IMAP migration is email-focused; calendars, contacts and other non-email workloads require a separate supported method.

Can I migrate multiple IMAP mailboxes?

Yes. EdbMails supports bulk migration workflows using the required mailbox connection details.

Why do folders look different in Gmail?

Gmail uses labels rather than the same folder model used by many IMAP servers, so folder-to-label behavior should be validated during the pilot.

What details do I need from the IMAP source?

Confirm that IMAP is enabled and record the correct server host, secure port, authentication method and the permitted account-access credentials.

What usually causes an IMAP connection to fail?

Common causes are IMAP disabled on the source, an incorrect secure port, or an authentication method the source does not permit. Confirm these connection details first.

Should I run an incremental pass before cutover?

Yes. An incremental pass transfers eligible new or changed email after the initial migration, reducing the mail outstanding at the final transition.

Is technical support available?

Yes. EdbMails provides 24/7 free technical support for planning and troubleshooting IMAP migrations.

A practical approach to IMAP to Google Workspace migration

IMAP to Google Workspace migration is an email-focused workflow for moving supported messages, attachments, folders, and common email properties from an IMAP-enabled source to Gmail in Google Workspace. It is suitable for sources such as hosted email platforms and standards-compliant IMAP servers when the migration scope is primarily email.

This direction is different from Google Workspace to IMAP migration. EdbMails uses the IMAP-to-IMAP migration workflow for supported email transfer into Gmail.

When IMAP to Google Workspace migration is the right path

An IMAP-based migration fits any source that exposes mailboxes over standard IMAP and where the migration scope is email.

Good fit

Use IMAP migration

Hosted email providers
Legacy mail servers
Any standards-compliant IMAP system
The migration scope is email

Better match

Use an API-based workflow

The source is an organization-managed Google Workspace environment
You need calendars, contacts and tasks as well as email

See migrate to Google Workspace to compare inbound paths.

What IMAP migration includes

Basic IMAP migration is email-focused. Supported messages, attachments, folders, and common message properties can be moved where both source and target expose and accept them. Contacts, calendars, tasks, Drive content, and other non-email workloads require a separate supported migration method.

Data type	IMAP migration	Notes
Email messages	Supported	Messages exposed over IMAP are transferred into Gmail.
Attachments	Supported	Moved with their parent messages.
Folders	Supported where exposed	Mapped into Gmail labels; validate nested and custom folders.
Common message properties	Supported where available	Where the source exposes them over IMAP.
Contacts, calendars, tasks	Not included	Non-email workloads require a separate supported method.

Source

Prepare the IMAP source

Confirm that IMAP access is enabled.
Record the correct server host, secure port, and authentication method.
Inventory mailbox sizes and unusually large messages.
Confirm the credentials or account-access method permitted by the source.

Target

Prepare Google Workspace as the target

Create or verify target Google Workspace users.
Confirm that Gmail is enabled for the target users.
Review organization security policies that affect third-party access.
Use the Google authentication method supported by the current EdbMails connection workflow.

Step-by-step IMAP to Google Workspace migration

Confirm IMAP is enabled on the source and record host, secure port and authentication details.
Create or verify the target Google Workspace users and confirm Gmail access.
Prepare the source and target account list, using the supported CSV-based method for multiple users.
Map each source mailbox to the correct Google Workspace destination.
Run a pilot that includes mailboxes with nested and custom folders.
Validate folder-to-label behavior, attachments and message properties.
Run the production migration, using batches for larger user sets.
Run an incremental pass to capture new or changed email before cutover.
Review migration reports and verify the target before any mail-flow change.

Single and bulk mailbox migration

EdbMails supports single-user and bulk IMAP migration workflows. For multiple users, use the supported CSV-based connection method, review the source and target account list, and map each source mailbox to the correct Google Workspace destination. Validating the first batch before scaling keeps any connection or mapping issue contained to a small group.

Folder-to-label behavior

IMAP servers commonly use folders while Gmail uses labels. These models are not identical, so validate standard folders, special folders, nested folders, and custom folders during the pilot migration. Confirming this early sets accurate expectations for how the mailbox will look in Gmail once the migration completes.

Best practices for IMAP migration

Record connection details first

Record the exact server host, secure port and authentication method before starting, because most IMAP connection failures trace back to incorrect connection details rather than the mailbox content.

Run the incremental near cutover

Keep the source account reachable during the initial pass and run the incremental migration near cutover so recent mail is captured.

Group large mailboxes separately

Where the source enforces connection or rate limits, process large mailboxes in their own group and allow extra time rather than forcing a single large run.

Incremental migration and verification

After the initial pass, use incremental migration to transfer eligible new or changed email items. Review migration reports, representative messages, attachments, dates, folder or label organization, and item counts before completing any final mail-flow change.

Migration reports

Representative messages

Attachments

Dates

Folder or label organization

Item counts

Verification against the actual target account, not only the report, is the reliable way to confirm the result.

Common issues to watch for

Connection problems

What to knowUsually caused by IMAP being disabled on the source, an incorrect port, or an authentication method the source does not permit.

Folder-to-label differences

What to knowFolder-to-label differences can make a migrated mailbox look reorganized even when all mail is present.

Large mailboxes and provider limits

What to knowLarge mailboxes and provider-side limits can slow a run, which is why batching and realistic scheduling matter.

Validate each of these during the pilot so production runs are predictable.
